Using NDIS Funding for Wheelchair Cleaning

Cleaning and maintaining assistive technology is often something your funding can cover. Here is how it usually works, and how to check your own plan.

The short version. Many NDIS participants are able to use their funding for professional equipment cleaning, most often through consumables under repairs and maintenance, or Low-Cost AT. Whether it applies to you depends on how your plan is written — your plan manager or support coordinator can confirm it quickly.

Why cleaning can count as equipment maintenance

A wheelchair, scooter or commode is assistive technology. Like any piece of equipment, it needs looking after to keep working properly and to last as long as it should. Professional cleaning is part of that maintenance: it keeps contact surfaces in good condition and gives an opportunity to notice wear before it becomes a problem.

That is the framing plan managers generally recognise. It is not a household cleaning service — it is maintenance of the equipment you rely on to get through your day.

How invoicing works

There is no payment step anywhere on this website, and no card details are ever requested. After the clean is finished, an invoice is issued.

  • Plan-managed: the invoice goes straight to your plan manager. Nothing to pay yourself.
  • Self-managed: the invoice comes to you, and you claim through the portal as you normally would.
  • Agency-managed: talk to us first — arrangements vary.
  • Aged care package: some home care packages cover equipment cleaning. Ask your provider.
  • Private: invoiced directly to you.

Checking your own plan

If you are unsure, these are useful questions to put to your plan manager or support coordinator:

  • Do I have consumables funding available for repairs and maintenance of assistive technology?
  • Would professional cleaning of my wheelchair sit under that, or under Low-Cost AT?
  • Is there anything you need from the provider before I book?

Is equipment cleaning covered by the NDIS?

For many participants, yes. Cleaning and maintenance of assistive technology is commonly funded through consumables, under repairs and maintenance, or as Low-Cost AT. Because every plan is written differently, the only way to be certain is to check your own plan or ask your plan manager or support coordinator.

Which budget does it usually come from?

Most often the consumables budget, under repairs and maintenance for assistive technology. Some plans handle it as Low-Cost AT instead. If you tell your plan manager that you are arranging professional cleaning of your mobility equipment, they will know where it sits.

I am plan-managed. What happens?

You book as normal. After the clean, an invoice is issued directly to your plan manager with the details they need to process it. You do not pay anything yourself.

I am self-managed. What happens?

The invoice comes to you. You pay it and claim it back through the NDIS portal in the usual way, or claim first and then pay — whichever way you normally work.

I am agency-managed. Can I still book?

Agency-managed arrangements are more restrictive and vary case by case. Get in touch before booking and we will talk through what is possible.

What information does my plan manager need?

Usually the service description, the date, the amount and the provider's details. All of that appears on the invoice. If your plan manager needs anything in a particular format, let us know and it can be adjusted.

Do I need a quote first?

Not normally, since the the cost is confirmed before the work goes ahead. If your plan manager or support coordinator asks for a written quote before approving the service, just ask and one will be sent.

What if my plan does not cover it?

You are welcome to book privately at the same price. Nothing changes about the service itself.
